Purchase order terms for category Stand parties

If you want to hold an evening event (e.g. stand party with your clients or happy hour or get-together limited to stand personnel) on your own stand, you must obtain written approval from Deutsche Messe AG. Events may not start before 6 p.m. and must finish by 10 p.m. You may then clear up your stand until 10:30 p.m. If events continue on after this time, we will be obliged to charge the exhibitor a compensation fee amounting to EUR 14,50 plus VAT per square meter of stand space for each additional hour of part thereof. This fee is to cover our own expenses such as the additional hall illumination costs, waiting times for the cleaning companies etc.

The exhibitor has to appoint a person who is authorized to decide and takes responsibility for the security (stand manager in charge) of the evening event. The stand manager in charge is committed to attend the stand party and be available at any time. If necessary, he has to take decisions in consultation with the responsible contact persons at Deutsche Messe AG, the authorities and external staff (fire department, police, building authority, office for public policy, medical service). The stand manager in charge is beholden to end the stand party if people are endangered.

Please bear in mind, that evening events may be taking place in your immediate surroundings at the same time.

While conducting the evening event exhibitors are confined exclusively to their rented stand space. Stand furniture shall not be placed in the aisles, escape and emergency routes have to be kept absolutely unhindered. Changes to the stand layout as approved by Deutsche Messe AG (stand architecture, escape route etc.) are not permitted.

During and after the event you must have supervisory personnel who ensure that neither guests nor your stand personnel enter other company's stands. If damage to or theft from other stands is discovered that is obviously connected with the evening event on your stand, then you will be held responsible for the damage or theft.

Glasses, bottles and dishes may not be placed outside of your own stand area.

Please supply your external service providers, who do not enter the fairgrounds by car, with valid guest tickets for the entrance gates.

The names of service providers who enter the fairgrounds by vehicle after 5 p.m. at the gate West 1 have to be announced in writing. The legitimation is the confirmation of the evening event approved by Deutsche Messe.

For guests who will not be on the exhibition grounds during the day and thus will enter the fairgrounds after 6 p.m., we recommend you to provide them with an official invitation containing the date of the evening event, the location (hall and booth number) as well as the name of the organizer (your company name). Any customer / guest wishing to enter the exhibition grounds before 6 p.m. will need a valid guest ticket.

Your supervisory personnel must also ensure that the fire prevention regulations are adhered to. Fire extinguishers must be on site and ready for use. You can order fire extinguishers from Minimax Mobile Services GmbH & Co. KG, phone +49 511 97839999 or mobil_hannover@minimax.de.

The performance of evening events is subject to the Technical Regulations of Deutsche Messe. Instructions of the hall inspectors as well as security personnel employed by Deutsche Messe must be followed.

In case of emergency, please dial the fairground emergency no. +49 (0)511 89112 or the first-aid station +49 (0)511 89114.

Musical presentations (either pre-recorded or live) may not start before 6:30 p.m. and even then, the noise level must be kept at such a level so as not to disturb people on neighbouring stands. Any type of music that is presented must be registered with GEMA regional office and the corresponding fee paid, please see in our shop "GEMA (notification of music use)".

All decorative materials used must be nonflammable and not drip burning pieces/drops pursuant to the DIN 4102-1 B1 or EN 13501-1 C - s2, d0 standards. Open fires and flames are explicitly prohibited.

The use of candles or similar as a light source for table decoration has to at least fulfill the fire safety requirement DIN 4102 B1 (nonflammable). They can only be used as storm lamps (vitreous higher than flame).
